CANCELLATION AND MODIFICATION POLICY

TRANSIERRA NORTE - THE RACE

By completing registration, the participant expressly acknowledges and agrees to the following Cancellation Policy:

1. No Refunds

All registrations are final and non-refundable under any circumstances.

This includes, but is not limited to: injuries, illness, work obligations, travel issues, flight cancellations, governmental restrictions, weather conditions, or any personal reason or force majeure affecting the participant.

2. Entry Deferral

The participant may defer their registration only to the next official edition of the event, Transierra Norte 2026.

Deferral is personal and does not generate any monetary reimbursement or cash credit.

3. Entry Transfer

Entries may be transferred to another rider.

To request a transfer, the participant must submit a written request by email to contact@transierranorte.com.

The transfer will be valid only after written confirmation from the organizing committee.

4. Applying Entry Fee to THE RIDE Experiences

The participant may apply the amount paid for registration as a credit toward any Transierra Norte TOURS experience offered throughout the year or on custom dates.

This credit is valid for 365 days from the original registration date.

To use this option, the participant must cancel their race spot and book their experience by emailing contact@transierranorte.com.

The credit is non-transferable, non-accumulative, and cannot be redeemed for cash.

5. Event Modification or Cancellation by the Organizer

If the event must be modified, rescheduled, or cancelled due to circumstances beyond the organizer’s control, including but not limited to natural disasters, safety conditions, governmental regulations, social conflicts, public health emergencies, or force majeure, the participant agrees that:

No refunds will be issued.

The registration will automatically remain valid for the rescheduled date or the next available edition of the event.

Registration in the event constitutes full acceptance of this policy.

BOOKING, CANCELLATION AND RESCHEDULING POLICY

TRANSIERRA NORTE – THE TOURS

By booking any Transierra Norte guided tour, private experience, or custom trip, the participant acknowledges and agrees to the following policy:

1. Reservation and Deposit

A reservation is confirmed only after payment is received.

A minimum deposit of 25% of the total trip price is required to secure a spot.

The remaining balance must be paid no later than 30 days prior to the trip start date.

If the balance is not paid on time, the organizer reserves the right to cancel the reservation and retain the deposit.

2. Participant Cancellation

Due to advance logistical commitments including accommodations, staffing, transportation, food preparation, permits, and community arrangements, the following cancellation terms apply:

Time Before Trip Start Refund

More than 60 days Full refund minus 25% administrative fee

31–60 days 50% refund of total trip price

0–30 days No refund

Failure to attend the trip (no-show) is considered a same-day cancellation and no refund will be issued.

3. Rescheduling

Participants may reschedule their trip once without penalty if requested more than 30 days before the trip start date.

The new date must be within 12 months of the original booking.

Rescheduling is subject to availability.

Price differences may apply if the new trip has a higher rate.

Rescheduling within 30 days of the trip is not guaranteed and may incur additional fees.

4. Transfer of Reservation

The booking may be transferred to another participant if requested at least 7 days prior to the trip start date.

The replacement participant must:

Complete all registration forms

Sign waivers

Meet physical and equipment requirements

The organizer must approve the transfer in writing.

5. Organizer Cancellation or Modification

Transierra Norte reserves the right to modify itineraries, routes, schedules, or accommodations due to weather, trail conditions, safety concerns, local community requirements, or operational logistics.

If the organizer cancels the trip before it begins:

Participants will receive a full refund, or

May choose to transfer payment as credit for a future tour.

If a trip has already started and must end early due to safety or force majeure conditions, no refunds or partial refunds will be issued.

6. Force Majeure

Transierra Norte shall not be liable for delays, changes, or cancellations caused by events beyond its control, including but not limited to natural disasters, road closures, fires, landslides, public health events, political or social conflicts, governmental actions, or community access restrictions.

In such cases, payments will be held as credit valid for 12 months from the original trip date.

7. Participant Responsibility

Participants are responsible for:

Having valid travel documents

Travel insurance and medical coverage

Proper riding equipment and physical condition

Inability to participate due to lack of preparation does not qualify for refund.

Booking a trip with Transierra Norte TOURS constitutes full acceptance of this policy.
